Over 25 percent of all road accidents involve workers driving for their job and a staggering 200 workers are killed or seriously injured every week on UK roads.

With figures like these there is no doubting the moral and commercial motives behind employers pursuing safer driving practices, with the down time and insurance implications of even minor accidents accounting for a huge cost to UK businesses. But the report brings in to doubt the effectiveness of driver training claiming there is no evidence that it improves road safety.

The IOSH report does however state that in-vehicle data recorders and safer driving incentives showed promised along with safer driving group discussions and training focused on giving drivers an insight into their limitations, as opposed to simply training them on vehicle control skills.

Many vehicle tracking systems include features to record driving style such as harsh breaking, hard acceleration and speeding and further more can automatically alert the employer to any drivers that are putting themselves at risk. West Dunbartonshire Council have been very pleased with the results so far. They have been keen to stress how it has helped to achieve lower co2 omissions in their commitment to fighting climate change. The fact of the mater is that while this maybe true to a certain extent, the main driving force for most local councils and businesses who invest in vehicle tracking is the ability to lower fuel consumption for monetary reasons. Obviously a knock on affect of lower fuel consumption is lower co2 omissions.

 The council have found that many of the fuel savings are a result of keeping track of how people drive the vehicles and in turn managing to get people to drive the vehicles in a more economical way.

The RAC performs Duty Of Care Inspection checks on fleet vehicles to ensure that company vehicles are well maintained and road worthy. The report highlights the risks that some operators are taking by not making sure vehicles are safe and road legal, which could should there be a fatality, result in Corporate Manslaughter action.

Whilst not performing regular safety checks and not being proactive with training drivers to take responsibility for their own vehicles may save time and money in the short term, the cost associated with rectifying major failures due to poor maintenance is likely to be much higher.

The first is to buy the tracking system outright. This means that once you have purchased the system,  you will only have to pay the provider for the airtime which means your monthly costs will be much lower. It also means that you will need to find the full amount of money for the entire cost of the system.

The disadvantages of buying a tracking system outright is that if at a later date the provider you are with goes out of business you will have to either have to go without tracking, find an alternative vehicle tracking provider to give you a tracking service with your current equipment (easier said than done) or buy a new tracking system. None of these are attractive options and believe me many companies have found their selves in this situation.

Also if you decide you are no longer happy with the service you are receiving from your tracking company you will also be left in a similar situation.

The advantage of buying a tracking system outright is that if you stay with the system for three to four years it can work out to be much cheaper.

The second way to purchase a tracking system is to buy it on lease. The advantages to this are that you can spread the cost and do not have to make such a large initial outlay. Not all companies are able to get accepted for a lease. Lease companies are much stricter than they were before the recession.

The disadvantages of leasing a tracking system are that you will be tied into a three to five year contract. This means you are stuck with the provider for the entire length of the contract with no way of getting out of it. If over time you find you are no longer happy with the tracking provider or you would like to get a better deal you will not be able to move to a new tracking company until your contract ends.

The third way to purchase a tracking system is to buy in on monthly payment on a pay as you go basis or 12 month contract. Sometimes this can cost you a little more than leasing, but you are not tied into a long contract. Pay as you go tracking typically ties you into a three month contract or you can opt for a 12 month contract to get a slightly better deal. Either way if you decide you would like to move provider you will not have to wait long.

This can be done using a certain feature of vehicle tracking called geofencing. Geofencing, ring fencing or location monitoring as it is sometimes know as, is a technology which enables you to define certain geographical areas on a web based map. When one of your tracked fleet enters or leaves this area you will receive an SMS or email alert to warn you of this.

Not everyone who uses vehicle tracking takes advantage of geofencing and not all tracking systems have this feature. But it can be very useful. If you suspect a member of your team is going home when they are suppose to be working, you could set up a geofence around their home. This would then warn you if that member of the team went home.

While geofencing is not an essential feature of tracking it can make the job of monitoring your employees that little bit more easy and less labour intensive.

 As one of Ireland’s largest food companies Glanbia is a supplier of dairy produce including Kilmeaden, Yoplait and Avonmore. Using its Masternaut tracked fleet, Glanbia makes over 2,500 deliveries a week to a wide range of customers, including most supermarkets and convenience stores operating throughout Ireland’s 26 counties. Therefore, the system will help the company with its aim of providing carbon neutral transportation. 

 “We are already benefiting from the accuracy and visibility that the Masternaut system has brought to our fleet management. The system is accurate and easy to use. It allows us to keep precise driving time records, ensuring all drivers are compliant with tachograph regulations. The reporting tools are a huge advantage too; the automatic system has these ready for us each morning so there is no additional administration necessary to get the information we need. It gives us a clear view of what is happening out on the road and will help us to gain more efficient use of each vehicle in the fleet- In addition to the vehicle benefits, the system allows Glanbia to proactively manage the performance of our drivers,” says Denis Conway, Logistics Manager at Glanbia.

 “Glanbia has already reduced its CO2 emissions by approximately 16 per cent over the last two years and Masternaut is the next phase of our continuous improvement and best practice programme. For example, an average delivery truck will burn around four to five litres of diesel an hour when idling. With the high cost of fuel, we want to prevent as much unnecessary idling as possible – which will reduce our operating costs and will help in the reduction of our carbon footprint. This will help us to achieve our aim of providing a carbon neutral transport service,” he adds. 

 Glanbia is currently using the system as a standalone fuel and emission management tool. However, the intention is to integrate Masternaut with its back office systems in the future. This will involve integration with its SAP business software and its Paragon routing and scheduling optimisation system primarily for the bulk haulage of dairy products. Denis Conway also reports that the vehicle tracking system will also provide a useful addition to payroll as it accurately records all driver activity, for example assigned driver hours and actual hours worked. 

 “The system offers a lot of flexibility for further development. Once we have achieved our initial goals of making savings on fuel and further reductions in our carbon footprint, we shall consider the next steps we can take with the system,” he concludes.
